Airfare
Overview:
University travelers should use coach/economy or equivalent airfare when available. Note that airfare cannot be reimbursed in advance of a trip. Travelers are encouraged to book air travel through the UCLA Travel Center's Direct Billing System to avoid out-of-pocket expenses for travelers.
Direct Billed Airfare:
Travelers are encouraged to use the University's direct billing system when booking air travel. Advantages to using the system includes avoiding out-of-pocket expenses for the traveler and discounted fares. Travelers interested in arranging for direct billed airfare should complete the following:
- Obtain a Pre-Tip-Trip Authorization through the PTA System
- Book the airfare using the UCLA Travel Center or the Connexxus Program; the traveler must provide a PTA when using either methods
Reimbursement:
Travelers seeking airfare reimbursement must submit the request using the Travel Express reimbursement system. All of the following documentation must be provided:
- Original E-ticket receipt or printed ticket with itinerary information
- Proof of payment (e.g. bank card statement
- Business purpose of the trip
Additional Notes:
The University cannot reimburse for travel package deals purchased from internet vendors (e.g. Expedia, Travelocity, Orbitz) unless an itemization of each expense type can be provided.
